1. Who we are

This website is operated by S-Move Edinburgh (“we”, “us”, “our”), a home removals business based in Edinburgh, Scotland.

For the purposes of UK data protection law, S-Move Edinburgh is the “data controller” responsible for your personal data when you use this website.

We are committed to protecting your privacy and handling your personal data in line with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and the Privacy and Electronic Communications Regulations (PECR) as amended by the Data (Use and Access) Act 2025.

2. The information we collect

2.1 Information you give us

We collect personal data that you provide directly, primarily when you request a quote or complete a self-survey of your property. This enquiry form is hosted at rm-s-move.co.uk and the information you submit is sent to and processed on that system. The information collected includes:

4. The enquiry / self-survey form

The “request a quote” and “self-survey” form is hosted on a separate website, rm-s-move.co.uk. When you complete and submit this form:

  • The information you enter is transmitted to and stored on that system so that we can prepare your quote and arrange your removal.
  • The form is used solely to handle your enquiry and provide the services you request.
  • The same data protection standards set out in this policy apply to the information you submit.

If you have any questions about how your enquiry data is handled, please contact us using the details in section 1.

5. Cookies and similar technologies

Cookies are small files placed on your device when you visit a website. We use cookies and similar technologies to make the site work, to understand how it is used, and to display content such as reviews.

We use a cookie consent banner. Non-essential cookies — including analytics and third-party cookies — are not set until you give your consent. You can accept all, reject all, or manage your preferences, and you can change or withdraw your choice at any time via the cookie settings link on the website.

5.1 Strictly necessary cookies

These are required for the website to function (for example, to remember your cookie preferences). They do not require consent and cannot be switched off.

5.2 Google Analytics

We use Google Analytics, provided by Google, to understand how visitors use our website so we can improve it. Google Analytics sets cookies that collect information such as the pages you visit, how long you stay, and how you arrived at the site. This information helps us measure and improve website performance.

Because Google Analytics is a third-party service, these cookies are only set after you give consent through our cookie banner. You can find out more in Google’s Privacy Policy.

5.3 Google Tag Manager

We use Google Tag Manager to manage the scripts and tags that run on our website, including analytics. Google Tag Manager itself does not collect personal data, but it is used to deploy tags (such as Google Analytics) that may do so. Any tags deployed through Google Tag Manager that set non-essential cookies will only do so after you give consent.

5.4 Google Reviews

We display Google customer reviews on our website. Showing this content may involve your browser connecting to Google’s servers, and Google may set cookies or receive technical data about your visit as a result. This content is only loaded after you give consent through our cookie banner. Information collected by Google in this context is handled in accordance with Google’s Privacy Policy.

6. Sharing your information

We do not sell your personal data. We share it only where necessary, including with:

  • Our staff and trusted contractors involved in delivering your removal, packing or storage
  • The provider of our enquiry/self-survey form (rm-s-move.co.uk) which hosts and processes form submissions on our behalf
  • Google, in connection with website analytics, tag management and reviews, as described in section 5
  • Our IT, hosting and website service providers
  • Our accountants, payment providers and professional advisers
  • Regulators, law enforcement or other authorities where we are required to do so by law

Where third parties act as our “data processors”, they may only use your data on our instructions and must keep it secure.

7. International transfers

Some of our service providers — in particular Google — may process personal data outside the UK, including in the United States. Where personal data is transferred outside the UK, we ensure an appropriate safeguard is in place, such as a UK “adequacy” decision, the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

8. How long we keep your data

We keep personal data only for as long as necessary for the purposes set out in this policy:

  • Enquiries that do not result in a booking: [e.g. 12 months from your last contact] — to confirm
  • Customer and contract records: [e.g. 6 years after the end of our relationship, to meet accounting and tax obligations] — to confirm
  • Marketing data: until you unsubscribe or withdraw consent
  • Website analytics data: in line with the retention period set in Google Analytics — to confirm

When data is no longer needed, we securely delete or anonymise it.

9. How we keep your data secure

We use appropriate technical and organisational measures to protect your personal data against unauthorised access, loss, misuse or alteration. These include access controls, secure hosting and staff awareness. However, no transmission of data over the internet can be guaranteed to be completely secure.

10. Your rights

Under UK data protection law, you have the right to:

  • Be informed about how your data is used (this policy)
  • Access a copy of the personal data we hold about you
  • Rectification of inaccurate or incomplete data
  • Erasure of your data in certain circumstances
  • Restrict processing of your data in certain circumstances
  • Object to processing based on legitimate interests, and to direct marketing at any time
  • Data portability — to receive your data in a portable format in certain circumstances
  • Withdraw consent at any time where we rely on consent

To exercise any of these rights, contact us using the details in section 1. We will respond within one month. There is normally no charge, and we may need to verify your identity before acting on your request.

11. How to complain

If you are unhappy with how we have handled your personal data, please contact us first using the details in section 1 so we can try to put things right. We operate a data protection complaints procedure: we will acknowledge your complaint, investigate it, and respond to you with the outcome.

You also have the right to complain to the UK’s data protection regulator:
